Terms of Service
These terms set out the agreement between your organisation and DuesDesk. They were last updated on 24 September 2026, and we have written them in plain English so the treasurer can read them without a lawyer on standby.
1. Who we are
DuesDesk is an online invoicing platform built for clubs, associations and small non-profits. In these terms, “DuesDesk”, “we” and “us” refer to the operator of the DuesDesk service, and “you” refers to the organisation that creates an account and the individuals who use it on that organisation's behalf.
By creating an account or using DuesDesk you agree to these terms. If you are accepting on behalf of a club or organisation, you confirm that you have the authority to bind that organisation.
2. Your account
Each subscription belongs to a single organisation, and the people you invite act on its behalf. You are responsible for keeping your sign-in details confidential and for everything that happens under your account, so please tell us promptly if you suspect any unauthorised access.
You must provide accurate information when you sign up and keep it up to date, since invoices, receipts and billing records are generated from the details you give us.
3. Free trial
New organisations receive a 15 day free trial with full access, limited to 10 invoices during the trial period. We do not ask for payment details to start a trial. When the trial ends, access to the workspace is suspended until a paid plan is chosen, and your data is kept safe in the meantime.
4. Paid plans, billing and VAT
Starter is £15 per month and Pro is £22 per month, charged per organisation. Prices are shown exclusive of VAT, and VAT is added at the prevailing UK rate where applicable, with a full VAT receipt available for every payment.
Subscriptions renew monthly in advance and are billed through our payment provider, which also provides a secure portal where you can update your card details, download receipts and manage your subscription. We do not store your full card details on our own systems.
We may change our prices from time to time. If we do, we will give you at least 30 days notice, and any change takes effect from your next renewal after that notice period.
5. Plan changes and cancellation
You can upgrade from Starter to Pro at any time and the change takes effect straight away, with billing adjusted accordingly. If you downgrade from Pro to Starter, the change is scheduled for the end of your current billing period, so you keep your Pro features until renewal and the lower price applies from then on.
You can cancel your subscription at any time. Cancellation takes effect at the end of the current billing period, you will not be charged again, and we do not offer refunds for partial months except where the law requires it.
6. Acceptable use
DuesDesk is provided for legitimate invoicing and membership administration. You must not use the service to send fraudulent, misleading or unlawful invoices, to send unsolicited bulk email, to infringe anyone's rights, or to attempt to access data belonging to other organisations. We may suspend or close accounts that breach these rules.
7. Your data
You retain full ownership of the data you put into DuesDesk, including your member lists, contacts, invoices and logo. You grant us only the limited rights needed to operate the service for you, such as storing your data, generating documents and delivering the emails you ask us to send.
You are the controller of your members' personal data and we act as your processor. You are responsible for having a lawful basis to store and contact the people you add to your workspace. Our Privacy Policy explains how we handle data in more detail.
8. The service itself
We work hard to keep DuesDesk available and reliable, but we do not promise uninterrupted service, and we may occasionally take the service offline for maintenance. We are not responsible for losses caused by things outside our reasonable control.
DuesDesk helps you create and send invoices, but you remain responsible for the accuracy of the amounts, tax treatment and content of the invoices you issue, and for complying with any rules that apply to your organisation.
9. Liability
Nothing in these terms excludes liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be excluded by law. Subject to that, our total liability to you in any 12 month period is limited to the fees you have paid us in that period, and we are not liable for indirect or consequential losses such as lost profits or lost data.
10. Ending the relationship
When your subscription ends, your workspace becomes read only for a reasonable period so you can export your data, after which it may be deleted in line with our retention practices. You can ask us to delete your organisation's data at any time through the contact page.
11. Changes to these terms
We may update these terms as the service evolves. For material changes we will give you reasonable advance notice, and continuing to use DuesDesk after the changes take effect means you accept them.
12. Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute, unless mandatory consumer law in your part of the UK says otherwise.
